Privacy policy
How we collect, use and protect your personal data. Valid from 1 January 2025.
1. General
This privacy policy (hereinafter: the policy) applies to all individuals whose personal data is collected and processed by IGB d.o.o.
Your privacy is very important to us. We handle your data carefully and comply with the provisions of the GDPR (General Data Protection Regulation) and the law governing the protection of personal data.
The controller of the personal data collected during the booking of hotel services and the accommodation of guests at Hotel Julijske Alpe (Hotel Julian Alps) is IGB d.o.o., Kolodvorska ulica 64, 4260 Bled.
The terms “we”, “our”, “us” and “Hotel Julijske Alpe” refer to IGB d.o.o. and our services; the terms “you” and “your” refer to users of the reservation system for booking a stay at Hotel Julian Alps and to guests accommodated at Hotel Julian Alps.
The information we collect is intended to provide a good user experience on the website, to process reservations of hotel services and to provide hotel services.
Since 7 January 2025, IGB d.o.o. has used the Rentl.io reservation system for booking stays at the hotel, developed and provided by Rentlio d.o.o., Obala kneza Trpimira 2, 23000 Zadar, Croatia. For reservations made through the www.hoteljulianalps.com website, IGB d.o.o. uses the Worldline payment system, developed and provided by Worldline Financial Services (Europe) S.A., 33 rue du Puits Romain, Luxembourg. A reservation cannot be made without providing personal information: name, surname, country of residence, e-mail address and phone number.
IGB d.o.o. never sells or otherwise forwards your personal information, such as name, surname or e-mail address, to third parties. However, if the service provider is taken over by another company, all data is transferred to the acquiring company.
The terms used in this policy have the following meanings:
- Personal data controller: the company IGB d.o.o., which determines the purposes and means of processing your personal data obtained when booking hotel services through the www.hoteljulianalps.com website or external reservation systems such as booking.com, agoda.com, hotels.com, trivago.com, etc.
- Contractual data processor: a legal or natural person to whom the controller entrusts certain tasks in processing your personal data.
- User of the reservation system: an individual who, during the booking process, identifies himself or herself with name, surname, e-mail address, country of residence, telephone number and other means of identification prescribed by this policy, agrees with this policy and uses the service on his or her own behalf.
- User of hotel services: an individual who stays at the hotel and identifies himself or herself at check-in with name, surname, e-mail address, country of residence, telephone number and other means of identification prescribed by this policy, and agrees with this policy.
- Personal data: any data relating to the user of the reservation system or the user of hotel services at Hotel Julijske Alpe.
- Personal data protection policy: an internal act on the protection of personal data of the controller or contractual processor.
2. Authorised person
IGB d.o.o. has appointed an authorised person for the protection of personal data. For all questions about this policy, please contact us at info@hoteljulianalps.com.
3. Information we collect
Website visitors who are not users of the reservation system
The information we collect about website visitors who are not users of the hotel reservation system is very limited. We record your IP address so that we can troubleshoot server problems, track statistics on the number of visitors and thus provide a better user experience. Whether your IP address differs on each visit or stays the same, it would be very difficult for us to recognise your identity, and we do not try to do so. If you reached our website by clicking a link or an advertisement on another website, we also record this. This helps us understand our visitors' interests and improve our online presence. All collected data is aggregated in our database, where it is analysed only in aggregate and never for an individual user. We also collect data through Google Analytics.
Users of the reservation system and users of hotel services
Whether you make a reservation through the www.hoteljulianalps.com website, an external reservation system such as booking.com, agoda.com, hotels.com or trivago.com, or by phone or e-mail, a reservation is only possible if you provide certain personal information. At check-in we collect the following data from the user of hotel services:
- Name
- Surname
- Country of residence
- E-mail address
- Phone number
- Language settings
4. Data processing based on a contract
IGB d.o.o. collects and processes the personal data of individuals on the basis of a concluded contract for the reservation of hotel rooms at Hotel Julijske Alpe.
IGB d.o.o. also collects and processes personal data of individuals on the basis of contracts concluded with its business partners. On the basis of these contracts, the company collects the personal data of those individuals that is necessary for the performance of the contract.
Personal data collected on this basis is necessary for the performance of the concluded contracts (to provide the services and/or products mentioned above) and for measures taken before concluding a contract. If this personal data is not provided, or the data subject does not agree to its processing, these contracts cannot be concluded and we will withdraw from contracts already concluded.
To perform the contract for the reservation of hotel rooms at Hotel Julijske Alpe, IGB d.o.o. collects and processes the following personal data: name, surname, e-mail address, telephone number, address, country of residence and language.
To perform contracts with its business partners, IGB d.o.o. usually collects the following personal data: name, surname, e-mail address and telephone number. On the basis of these contracts the company may also collect other personal data specified in the individual contract and necessary for its performance.
The company does not collect payment card numbers or other payment card data that the customer provides through the www.hoteljulianalps.com website. This data is collected exclusively by payment card service providers.
5. Protection of personal data
To protect personal data, IGB d.o.o. implements all necessary legal, organisational, logistical and technical procedures and measures, either on the basis of internal acts or through its contractual partners, in such a way that it:
- secures premises, equipment and system software, including input and output units;
- protects the application software used to process personal data;
- prevents unauthorised access to personal data during transmission, including transmission by telecommunications and networks;
- provides effective means of blocking, destroying, deleting or anonymising personal data;
- makes it possible to determine later when individual personal data was used or entered into the database and by whom, for the period for which the data is stored.
6. Retention period of personal data
The retention period depends on the legal basis and the purpose of processing of each category of personal data. Personal data is stored only for as long as necessary to achieve the purpose for which it was collected or further processed. After the purpose of processing has been fulfilled, personal data is deleted, destroyed, blocked or anonymised, unless another legal basis applies or it is necessary for the establishment, exercise or defence of legal claims.
Personal data processed on the basis of a contract is stored for the period necessary to perform the contract and for 5 years after its termination, except where a dispute arises between us and the data subject in connection with the contract. In that case we store the data for 5 years after the final court or arbitration decision or settlement or, if there was no litigation, for 5 years from the date of amicable settlement of the dispute. Invoices are kept for 10 years after the end of the year to which they relate, in accordance with the law governing value added tax.
7. Rights of the individual
An individual who wants information about all the purposes for which IGB d.o.o. uses his or her personal data may request it by exercising the right of access. IGB d.o.o. will provide a detailed list of all processing of his or her personal data and its legal basis.
IGB d.o.o. enables individuals whose personal data it processes to exercise their rights, in particular the right of access to personal data, the right to rectification or erasure, and the right to object. A request may be submitted in a way that allows the individual to be identified (e.g. a verbal request recorded at the registered office of IGB d.o.o., or a written request sent to IGB d.o.o., Kolodvorska ulica 64, 4260 Bled). A copy of the personal data being processed, or the requested information, is provided free of charge. We may charge a reasonable fee, based on administrative costs, for further copies. If the data subject's requests are manifestly unfounded or excessive, in particular because they are repetitive, we reserve the right to charge a reasonable fee or refuse to act on the request.
In accordance with the applicable legislation, individuals may exercise the following rights in relation to the processing of personal data:
- Right of access: the data subject has the right to obtain confirmation from IGB d.o.o. as to whether personal data concerning him or her is being processed and, if so, access to that data and additional information about its processing. Please send requests to info@hoteljulianalps.com.
- Right to rectification: the data subject has the right to have inaccurate personal data concerning him or her rectified without undue delay. Taking into account the purposes of processing, the individual has the right to have incomplete personal data completed.
- Right to erasure: the data subject has the right to have personal data concerning him or her erased without undue delay where:
- the personal data is no longer necessary for the purposes for which it was collected or otherwise processed;
- the individual withdraws the consent on which the processing is based and there is no other legal basis for the processing;
- the individual objects to the processing and there are no overriding legitimate grounds for the processing;
- the personal data has been unlawfully processed;
- erasure is required by law.
- Right to restriction of processing: the data subject has the right to obtain from IGB d.o.o. restriction of the processing of his or her personal data where one of the following applies:
- the data subject contests the accuracy of the data, for a period enabling us to verify its accuracy;
- the processing is unlawful and the individual opposes erasure and requests restriction of use instead;
- we no longer need the personal data for the purposes of processing, but the individual needs it for the establishment, exercise or defence of legal claims;
- the individual has objected to processing, pending verification of whether the legitimate grounds of the controller override those of the individual.
- Where processing has been restricted, such personal data shall, with the exception of storage, only be processed with the data subject's consent, for the establishment, exercise or defence of legal claims, or for the protection of the rights of another natural or legal person. We will inform the individual before the restriction is lifted.
- Right to data portability: where processing is based on consent or on a contract and is carried out by automated means, the data subject has the right to receive the personal data he or she has provided to us in a structured, commonly used and machine-readable format, and to have it transmitted to another controller where technically feasible.
- Right to object: the data subject has the right to object at any time, on grounds relating to his or her particular situation, to processing based on our legitimate interests. Where personal data is processed for direct marketing, the data subject may object at any time, and we will stop processing the data for that purpose.
- Right to withdraw consent: where processing is based on consent, the data subject may withdraw it at any time, without affecting the lawfulness of processing carried out before the withdrawal.
- Rights related to automated decision-making: IGB d.o.o. does not make decisions based solely on automated processing, including profiling, that produce legal effects concerning the data subject or similarly significantly affect him or her.
- Right to lodge a complaint regarding processing: the data subject may lodge any complaint regarding the processing of personal data with us by e-mail to info@hoteljulianalps.com or by registered mail to the company's registered office.
- Right to lodge a complaint with a supervisory authority: a data subject who considers that the processing of his or her personal data infringes data protection rules has the right to lodge a complaint with the Information Commissioner of the Republic of Slovenia (Informacijski pooblaščenec RS), Dunajska cesta 22, 1000 Ljubljana, Slovenia · tel. +386 1 230 97 30 · gp.ip@ip-rs.si · www.ip-rs.si.
